Onboarding New Hospitality Staff Over WhatsApp: A Practical Guide

In hospitality, people come and go. Seasonal staff, part-timers and students all need onboarding, often in a hurry, often by someone who is also running a service.

Most owners end up with a familiar mess: forms emailed, documents in camera rolls, and someone chasing a bank detail at 11pm.

What a WhatsApp-based flow looks like

The idea is simple. A new starter gets a message, follows a short set of steps and everything lands in one organised place:

  1. Welcome message with start date, where to be and who to ask for.
  2. Details collected in the chat, such as emergency contact and availability, saved into a sheet or your HR system.
  3. Documents requested and tracked, so you can see at a glance who is still missing something.
  4. Automatic reminders for anything outstanding, so you don’t have to chase.
  5. A notification to you when someone is fully ready to start.

What WhatsApp doesn’t replace

A few obligations still need doing properly:

  • Right to work checks. These must be completed before someone starts, following the Home Office rules. A photo in a chat isn’t a check on its own.
  • Written terms. Employees and workers must receive a written statement of their main terms on or before their first day.

The chat handles the admin around them, and the checks themselves stay compliant. If you’re unsure, check the current gov.uk guidance or speak to an HR adviser.

Why bother?

Faster starts, fewer forgotten forms, and a record of what’s been done. For a business taking on a crew each season, that adds up.
