Why Your Restaurant Team Is Ignoring Your Staff App (and What to Use Instead)

Ask any restaurant or hospitality owner how they get messages to their team, and you’ll hear the same thing: a staff app that half the team never opens, a noticeboard nobody reads, and a WhatsApp group that everyone actually uses.

We run festival kitchens with up to 16 people in peak season, and we know how it goes. If you need a message read, it goes on WhatsApp.

The problem with “official” channels

HR platforms such as Breathe HR, HiBob and Sage HR are excellent at what they do: holiday, absence records, documents, contracts. But they’re built as places you go to, not places that come to you. Staff on a break with a phone in their hand will open WhatsApp long before they log in to anything.

The idea: keep your HR system, change how people reach it

You don’t have to replace your HR platform. The better approach is to leave it as the source of truth and use WhatsApp as the front door:

  • Shift reminders and changes sent to the people affected, not the whole group.
  • Quick answers to common questions like “when’s my next shift?” or “how do I book holiday?”
  • Confirmations that a message was seen, so you’re not chasing.

Automation tools such as Make.com can connect the two, so the data lives in one place and the messages go where people will read them.

Keep some things human

Sensitive conversations, disciplinary matters and anything contractual should stay person to person. Automation is for the repetitive stuff that eats your week.
